Our CRM contains the details of many Prospects who we do a lot of development work with. When such a Prospect becomes a customer and is processed through Unleashed, Unleashed automatically duplicates the Prospect as a New Customer in the CRM. So we end up with 2 entries for the same company - one as a Prospect with all the development notes and a new one as a customer with links to Unleashed. It would be great if Unleashed recognised that the company already existed
Hi Mary,
The ideal workflow is to create new Unleashed accounts from the CRM. I'm not sure what your exact business workflows are so I dont know if that would work for you, but ideally, either:
a) The initial quote is sent from the CRM, then when you confirm that quote the CRM will automatically prompt the user to create an unleashed account, or
b) even if no quote has been sent, if the CRM company record is opened, you can click in to the "Unleashed Account" field and click "create"
Either of those workflows will not only avoid duplicates, but also ensure that users aren't having to rekey company details (name, website, phone, address, etc) into Unleashed that were already keyed into the CRM.
However, if for some reason that workflow can't work for you, then you can try turning on the "Detect Duplicates During Automatic Customer Creation" option. This is an optional feature because it's not perfect (the computer won't always be able to match these records) and it's not as good as the workflows above.

If a match is detected, it will email someone (or multiple people) to confirm the match and marry up the two records, thereby avoiding a duplicate.
Finally - if you do try it, please give us some feedback. This is a fairly new feature and something that others might benefit from if it works well for you.
